Non-profit sports program expands with help from Maxwell

Challenge

Because the FasterFeet* youth sports program was offering just the right service at the right time, it was enjoying a surge in growth. The nonprofit went from one site in 2010 to more than 20 sites in two states, doubling in size every year. But this rapid growth meant that FasterFeet now had to on-board and pay hundreds of seasonal workers and dozens of vendors across 20 sites. Without a scalable and standardized workflow, the program’s directors were concerned about compliance with payroll rules, and they were frustrated that they couldn’t get clear visibility into the finances of each individual FasterFeet site.

Solution

When FasterFeet asked Maxwell Money to handle its bookkeeping, we implemented QuickBooks general ledger, bill.com accounts payable workflow, and ADP Workforce Now. We set up a scalable, standardized workflow that FasterFeet now uses to pay all its workers and vendors. Every month, we break down and report on the finances of each site. We also look at the bigger picture, helping FasterFeet ensure that it’s meeting all the financial requirements for a nonprofit business.

Results

Standardization helps FasterFeet’s site directors to efficiently pay hundreds of seasonal student coaches. It also gives the nonprofit’s directors peace of mind, because now they can be sure that the organization is complying with payroll rules across all its sites and programs. Plus, with Maxwell Money accounting and bookkeeping services, FasterFeet now has accurate financials and information about the profitability of each site, to help guide its decisions about future expansion and current programs.

“We’re able to focus on offering our program to even more kids because Maxwell Money is taking care of the financial details including payroll, and giving us information on profitability, ” says a director at the program. “We’re free to work towards our larger goals, knowing that they’ve got our books. ”
